Schwab OpenView Gateway: Alerts Integration

AE CRM can create Workflows automatically based on Schwab OpenView Gateway Alerts. In addition, the integration comes with an entire set of Workflow Templates that can be downloaded into your system. These Workflow Templates are specifically designed by the AE CRM Training and Consulting team to work with the different Alert Types from Schwab OpenView Gateway.

Creating an Alerts User

AdvisorEngine recommends creating a separate User in Schwab strictly for accessing these alerts from AE CRM.

The Schwab Help Center can walk you through the steps of adding an SACAlerts User. Note that after creating the User, you will need to log into the Schwab Advisor Center with the new User credentials to complete setup for that User before continuing with the AE CRM integration setup.

Setting up the Integration

Navigate to Settings > Firm Profile > Firm Preferences.

Click Edit in the upper right and then click Setup on the Schwab OpenView Gateway™ SAC Alert - AdvisorEngine CRM Workflow line.

The setup form will open. Here you will assign the Schwab user credentials that the CRM will use to retrieve alerts, and ensure that each incoming alert receives the correct attention.

Step 1: Enable Your User

On the second line of configuration dialog, use the Click to Enroll link and enter SAC credentials that the service will use to check for alerts. This User should be able to access all accounts in your firm. As mentioned above, AdvisorEngine recommends creating a separate User in Schwab for this purpose rather than using your own.

Step 2: Choose Unmatched Settings

Based on account information, AE CRM will match the Alert to Record, and launch the Workflow configured below. If a match fails at any point, these settings configure the fallback so that an alert is not missed.

Unmatched Record: In the first line of the dialog, click the search and find a Record that any alerts without an account match will be diverted to.

Unmatched Record Alert: In the third line, select which User will get an system alert when a Schwab Alert comes in that does not have a Record match.

Unmatched Workflow Assignment: In the fourth line, select which User will be assigned the Default Workflow if the Alert that comes in does not have a Workflow Match (or Ignore) set in the configuration below.

Optional: Download Sample SAC Workflows

If desired, a link is provided to download pre-built Workflow Templates specially designed for SAC Alert integration by the AE CRM Training and Consulting team. Look for the link that says Click to Add SAC ALert Workflows just above the Workflow Matching section.

The Workflow Templates will be added your database.

Attention! The SAC Workflows that download are generic and need to be assigned to Users in your firm. Before assigning them to Alerts below, go to Workflow Setup to edit and assign the new SAC workflow templates to Users. Failing to assign the new templates can result in the service not being able to automatically create Workflows.

Step 3: Match Alert Types to Workflows

Now match CRM Workflow Templates to Alert Types from SAC. All types are ignored by default, so firms can selectively capture Alerts based on your custom preferences. Clear the Ignore checkbox and click the Workflow Match drop-down to select a Workflow Template. Any active Workflow Template in your database is available.

Once you have made all of the matches for SAC Alerts your firm is looking to capture, click Save in the upper right.

The system will let you know that the setup is complete.

Click Save on the Firm Preferences page to confirm the new settings.

You may return to this form at any time to disable the integration or make changes to the settings.

Ongoing Use

The function of the Alerts integration will be automatic from this point. AE CRM will check Schwab for unread alerts and act on them as your setup indicates.

Caution! AE CRM will only act on unread alerts! If the alert is acknowledged in Schwab before AE CRM acts on it, the desired workflow will not be triggered.
